Did You Just Hire an Unqualified Insurance Coordinator? Blog Feature

I get these job ads across my computer daily for dental offices trying to hire an Insurance Coordinator position.  Every single one of them requires a minimum of 2-3 years experience in the software, whether it’s Dentrix, Eaglesoft, SoftDent, OpenDent, Practiceworks, etc.  I saw this one earlier today,

Seeking a Part-time employee for a prestigious Dental office who is highly motivated, very detail oriented and knowledgeable with DENTAL INSURANCE.

Job entails: Gathering all the demographics from the patient and their insurance information, verifying benefits, filing electronic claims as well as paper claims, having knowledge on responding for additional information from EOB, posting Insurance payments and making adjustments, credentialing, adding new Carriers to Dentrix, and adding new fee schedules to Dentrix.

Job Type: Part-time

Required experience:

At least 3 years Dental insurance experience: 3 years

Think about this. Why are you hiring someone new? Did the last person or persons not do a good job?  Is someone leaving?

Every dental office MUST HAVE someone in the office to send claims, follow up on claims, and post insurance payments.  This person is the reason YOU GET PAID!

And you want them to be Part Time? Who’s going to train this person on the right way to post payments? Who’s going to make sure this person knows what they are doing?  It took you how long to figure your last person didn’t know what he/she was doing??

Why hire an insurance coordinator with no experience?

I previously worked for a group with multiple offices.  When I was brought in to run the billing center for the offices, I knew right away the problem (all) dentists face AND they didn’t even know it.  What we found was that we had individuals acting as an insurance coordinator in each office.  We had the same software and a system was in place prior to my arrival on how to post, how to send claims, how to work the insurance aging report, etc.  However, what we found was alarming.

Of the eight, not one person posted the same way as another. Not one person worked the insurance aging report the same as another.  Patients had credits due to bad write-offs.  Checks were lost, then found in desk drawers.  Checks were posted to incorrect accounts.  The offices were owed tens and even hundreds of thousands of dollars they weren’t receiving. Insurance aging reports were not worked.  Claims were just being resubmitted 5 and 6 times without being paid.

Since we started Dental ClaimSupport, we see dental offices with the same exact issues!  The bad part: is it happening to you right now?

So you just hired an unqualified, part-time insurance coordinator to manage the most important aspect of your business?
